What you’ll do – The opportunityPosition:Transportation CoordinatorLocation: Calgary, AlbertaLevel:Individual ContributorHiring Range:51000to 63700Description:Reporting to the Logistics Supervisor, Prairies - the Transportation Coordinator, Prairies will provide administrative support to ensure efficient distribution and operation throughout the Prairie Region, while maintaining high levels of customer service. Regularly exchange information with internal departments (e.g. Sales, Customer Service, Accounts Receivable) and 3rd party freight carriers regarding orders, shipping, inventory and various other related issues. This is an in-office position, 5 days per week.Responsibilities:
  • Coordinate 3rd party daily LTL freight; track order invoices, pro numbers and billing
  • Book inter-provincial freight shipments with carriers and enter/receive into Apex/Oracle; update the West Freight Tracking and pallet grids
  • Release sales orders for picking and provide customer data for routing
  • Ensure on time shipping of customer orders, providing delivery ETAs and following up with transportation providers when needed
  • Creation and processing of return material authorization (RMA) documents; issuing customer credits for product returns and empty kegs
  • Manage tracking of data relating to measurements and productivity reporting including pick errors and missed deliveries (KPIs)
  • Investigate errors/issues, recommend solutions and follow up with transportation providers, sales and customer service
  • Inventory counting and reconciliation in conjunction with the Alberta Gaming, Liquor and Cannabis (AGLC) staff
  • Inventory reconciliation for Saskatchewan, working with the freight provider to provide physical counts and investigating variances
  • Regularly exchange information with the Logistics Supervisor, Prairies and provide backup in their absence
  • Support adherence to the quality and food safety standards as required
  • Log daily inbound freight loads and track pallets
  • Reconciliation of freight bills
  • Provide clerical support and reporting for the Logistics department
  • File management and storage organization
  • Some reception duties for the Calgary office (monitor front door and visitor sign in)
  • Perform other duties as required
Requirements:
  • Post-secondary education in business administration or related field
  • Minimum of 2 years of work experience in a warehouse, distribution environment
  • Ability to perform duties to a high level of accuracy
  • Strong computer skills including MS Office, MS Word, MS Excel; experience working with Oracle or Apex considered an asset
  • Knowledge of basic accounting principals
  • Knowledge of AGLC, SLGA, and or MBLL alcohol regulations considered an asset
  • Knowledge of local delivery areas considered an asset
  • Demonstrates strong communication skills; written and verbal
  • Time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
  • Able to maintain filing systems and basic databases
Work Conditions:
  • Overtime may be required
  • Perform work in an office environment approximately 85% of the time; remainder of time is spent in a warehouse environment
  • Required to wear proper PPE when in the warehouse to mitigate hazards associated with warehouse environment
