Position Summary
The Medical Office Assistant performs routine clinical and administrative duties under the direct supervision of the physician and Clinic Manager.
Key Responsibilities
Administrative Responsibilities:
Answer phones and return messages; call patients when appointments need to be cancelled and/or re-scheduled
Manage the phone system to ensure that the proper greetings/recordings are activated at the appropriate times
Check patients in (and out) and obtaining all patient information, and at every patient visit - ensure that patients present their health card and check its validity
Give forms to patients to be filled out, and update the EMR with information as needed
Check and enter EMR Alerts and ensure they are accurate
Schedule all patient appointments and all follow-up appointments for any reason
Schedule all patient referral / consult appointments as directed by the physicians
Retrieve and sort all incoming faxes and mail; and scan all documents into the EMR as required
Shared and empty shared bins for certain areas/offices
Place general clinic garbage in certain areas for the building cleaning staff to pick up
Assist physicians as required
Collect, invoice and process payments from patients
Obtain pre-authorization for WCB and other third party providers, as needed
Validate and update Health Card Version codes with the MOH validation service as required by Clinic Manager
Accept deliveries and assist with stocking office supply delivery
Assist in the training of other staff regarding new office procedures
Perform other duties as directed
Clinical Responsibilities:
Greet patients from the waiting room and take the patient to the examination rooms; ask them for their reason of visit
Take weight and vital signs, prepare infants for examinations (weighing and measuring)
Preparation of exams room, maintenance, inventory and assist with the supply order
Other duties as required
Knowledge, Skills and Experience
Personality: A friendly, compassionate, caring individual committed to providing exceptional healthcare to all patients of HealthPark Medical Clinics as an integral member of the healthcare team. Specific Job Skills: The MOA has a passion for providing the highest quality of patient care while maintaining strictest confidentiality. The MOA has the ability to work independently, be self-directed and work as part of the health care team. The MOA has effective organization, critical thinking, problem-solving, and decision-making skills. Computer Skills: Must be adept in use of Accuro EMR software Education Qualifications: Diploma in Medical Office Assistant or other similar course/employment experience
