Scope of Position
We are looking for a Program Coordinator to support the implementation of the strategic plan to successfully grow our influence and impact as a public health charity. The primary focus of this role will be to support the organization in day-to-day functions and business operations, and work to raise the profile, reputation, and reach of the Pacific Public Health Foundation, and public health broadly. The Program Coordinator supports the CEO with executive administration as well as stakeholder engagement and management.
Reporting to the Operations Manager, this role works in collaboration with the CEO, Operations, Marketing and Communications, and Fund Development teams.
Overview of the Position:
Executive:

Scheduling and calendar management for internal and external meetings;
Compiling background briefing materials for meetings, and taking and distributing meeting minutes where applicable;
Preparing and editing correspondence, communications, presentations, reports, and other documents;
Acting as the point of contact between the CEO and external stakeholders;
Preparing and processing CEO expense claims, travel arrangements, or other activities;
Supporting CEO’s strategic and partnership work.

Programming

Providing project management support including but not limited to report writing, evaluation, collection, correspondence with project leads, and document management;
Acting as liaison with Marketing and Communications and Fund Development teams on reporting requirements for donor relations and public engagement activities;
Organizing and/or attending meetings as required for administrative support;
Facilitating, supporting, and coordinating logistics for public engagement and knowledge translation activities, such as events, content production for various media, evaluation, reporting, and other administrative tasks as required, in collaboration with other teams.

Operations and General Administration:

Supporting overall day-to-day operations and business functions;
Supporting financial systems including but not limited to data entry, accounts payable processing, audit work, and mailings;
Coordinating regular internal team meetings and other staff engagement activities;
Sharing responsibilities of the Foundation general inbox with staff from Marketing and Communications and Fund Development teams;
Working with the Operations Manager in fulfilling activities for the Board of Directors and its sub-committees, including but not limited to:
Coordinating schedules, booking meetings, drafting agendas and internal reports, preparing and distributing minutes, communication of key documents for approval, board engagement, education, and communications plans;
Participating in Board meetings and other meetings as required;
Developing and maintaining organizational procedures and manual;
Taking on special projects to support the organization and overall business needs;
Supporting and collaborating with the Fund Development and Marketing and Communications teams as needed;
Other duties as required.

Requirements:

Combination of training, education, and/or experience in operations and business administration;
Strong relationship-building skills with an ability to develop a positive rapport with a diverse range of individuals;
Proven experience with project management and ability to efficiently organize and manage diverse projects while meeting multiple deadlines, along with thorough attention to all details and consistent follow through;
Experience with financial systems, data entry, and payables processing;
Experience with calendar coordination, meeting preparation, and minute taking;
Excellent computer skills and experience with Microsoft Office applications;
Strong oral and written communication skills;
Comfort and experience discussing and advocating for social change and progressive initiatives;
Experience working in non-profit organizations an asset;
Understanding of public health, a health-related field, and/or public and community engagement is a strong asset;
An understanding of, and passion for, working in a small and dynamic growing charity is particularly key;
Commitment to the vision, mission, values, principles, and priorities of the Pacific Public Health Foundation;
Ability to work flexible hours on occasion, based on predictable activities like early meetings and late events.
