Job Description:Job Description Salary: $49,440 – $59,440 per annum “Immediate for Hire” Be a part of a rapidly growing organization focused on one of the most pressing challenges in Canada: supporting sustainable access to safe, clean water in Indigenous communities. Water First partners with Indigenous communities to solve local drinking water and environmental water challenges through education, training, and meaningful collaboration. We seek a Bookkeeper & Human Resources Assistant, reporting to the Director, Finance. This is a hybrid work-from-home position. Candidates must be available to travel to the Creemore office, 10 Francis Street East, at least 1-2 days per week. Start Date: Immediate Wage: $49,440 – $59,440 per annum (flexible based on level of experience) Water First supports progressive labour policies, including: Flexible hours Health benefits Defined benefit pension plan Generous paid vacation This role is responsible for maintaining all necessary and appropriate financial and human resources records, files, and processes to ensure the organization’s smooth and compliant operation, focusing on accuracy and transparency. Responsibilities for this position include: BOOKKEEPING Bill Payments: Review vendor invoices for accuracy & enter them into QuickBooks Calculate HST rebates Process payments via EFT/cheques Verify EFT payments are accepted and record EFT# in QuickBooks Maintain files with digital backup of all payments Expense Report Payments & Corporate Credit Card Management: Ensure all expenses, including credit card charges, are correctly entered into the expense reporting system, including attaching receipts, verifying taxes and accurate coding Calculate HST rebates Enter expenses into QuickBooks, including copies of expense reports Process EFT payments Monthly reconciliation of credit card accounts Regularly monitor credit card balances and ensure payments are processed on time to avoid over-limit fees and interest Maintain files with digital backup of all payments Payroll: Process bi-weekly payroll in QuickBooks Calculate stat pay for hourly employees when applicable Process EFT payments Email paystubs to all employees Assist with T4 preparation and distribution Assist with ROEs Deposits: Research all bank account direct deposits and obtain backup documentation Deposit physical cheques/cash into the bank using the Remote Deposit Capture (RDC) machine or at the physical branch when necessary Code RDC and in-branch deposits and send PDFs to Fundraising Record all deposits in QuickBooks Maintain files with digital backup of all deposits Banking: Provide a monthly deposit list to Fundraising Record bank service charges EFT Management: add, edit & remove EFT information as necessary Download copies of all EFT summaries to the shared drive Annual T3010 & Annual External Audit: Assist in preparing documentation for the T3010 (Charity Return) Assist with any queries external auditors may have to prepare the audited financial statements HUMAN RESOURCES: Employment Cycle: Support full cycle recruitment from requisition to onboarding Administration of change of status requests, including completion of forms, obtaining required signatures, letter writing & tracking Timely generation of employment letters as requested Benefits: Administration of benefits, including enrollment, updates, terminations, billing, etc. Record Keeping: HRIS administration within BambooHR, including ensuring all files are up to date General: As needed, provide additional support to the HR function The ideal candidate for this position will possess the following: College or university degree in business/accounting. Additional education in human resources would be considered an asset A minimum of 2 years of experience working as a bookkeeper or accounting clerk Strong knowledge of generally accepted accounting principles 1-2 years of experience as a Human Resources Assistant/Coordinator Previous experience working for a non-profit would be highly regarded Previous payroll processing experience would be a strong asset Extensive experience with data entry and record-keeping Advanced working knowledge of Microsoft Office and Google Suite applications Experience with accounting software (QuickBooks Desktop preferred) Experience working with an HRIS system (i.e., BambooHR) Demonstrated ability to work effectively with minimal supervision and prioritize workload Excellent administrative and organizational skills with a strong attention to detail A flexible team player with a demonstrated ability to collaborate and support colleagues Strong English communication skills (oral and written) Personal qualities of professionalism, integrity, credibility, judgment, initiative, tact, discretion, confidentiality, and diplomacy Strong time management skills Candidates must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada under relevant provincial or territorial legislation and regulations We would love to hear from you if you want to learn more about this exciting opportunity!
