The Administrative Assistant provides support to the National Sales Manager and Outside Sales Representatives. This candidate will possess a positive, energetic, and professional disposition, be highly adaptable and results-oriented with a meticulous attention to detail. This position will be 20 hours per week and working remote from home with travel as required to attend meetings, trade shows, etc.

Responsibilities
Responsibilities:
⮚ Provides administrative support to the Sales Manager;
⮚ Prepares and processes correspondence reports (including that of a confidential nature); ⮚ Manage agendas, dispatch meeting invitations, book meeting rooms, and arrange for IT resources and other requirements;
⮚ Record and distribute minutes of meetings;
⮚ Monitor, screen, respond to, and distribute incoming communications;

⮚ Complete monthly expense reports for the National Sales Manager;
⮚ Pre-approve monthly expense reports for the Sales Reps in Concur;
⮚ Run weekly/monthly reports;
⮚ Work with Marketing Department to develop literature for Canada;
⮚ Work with Marketing department on magazine ads and promotional communications; ⮚ Assist with ordering and organizing literature;
⮚ Ship out supplies, literature;
⮚ Assist with updating sales manuals;
⮚ Update price lists and discount sheets as necessary;
⮚ Update and maintain mileage reports;
⮚ Answer incoming calls from Sales Team;
⮚ Order and contract promotional items with outside vendors

Qualifications
▪ 3 to 5 years’ experience as an Administrative Assistant
▪ Strong written and verbal communication skills;
▪ Strong knowledge of MS Office applications, including Word, Excel, Outlook, PowerPoint; ▪ Excellent organizational and planning skills and the ability to multi task priorities; ▪ Good interpersonal skills and a team player.
▪ Must have a valid driver’s license;
▪ Bilingual in the French language is required.
